General Purpose

As part of the renewable resources staff, facilitates effective completion of compliance activities prescribed by hydroelectric operating licenses.  Provides administrative support to the license program managers and team members including scientists, compliance analysts, engineers and subject matter experts. Performs coordination and support functions for new renewable resource project development initiatives.  Monitors tasks and coordinates timelines and expenditures.  Compiles, organizes, and summarizes data from internal staff and external stakeholders; coordinates distribution of hydroelectric project information.  Ensures activities are performed per contracts, corporate guidance, and regulatory agency requirements

Responsibilities

  • Provide primary administrative support to hydroelectric license compliance teams and to project development teams exploring new renewable generation resources.
  • Coordinate inputs from license compliance team members for the preparation of plans, reports, letters, spreadsheets and presentations.
  • Coordinate the completion of multiple project tasks by effectively monitoring, analyzing, and reporting project costs, schedules, and activities.
  • Organize meetings of internal license management teams and external stakeholders.  Coordinate meeting methods, locations and participant lists, as well as preparation and distribution of agendas and minutes.
  • Monitor and track project processes to advise license manager on completion of required tasks and regulatory requirements.
  • Monitor activities for compliance with contractual, corporate, and regulatory requirements.
  • Process project documents including contracts, payments, invoices, and completion stats for projects, using standardized processes.
  • Communicate with consultants/contractors regarding procurement/accounting information.
  • Communicate with program management and project team about concepts, data, and specific business needs associated with the project.  
  • Coordinate with State and Federal resource agencies regarding meetings, document preparation, editing, and information dissemination.
  • Create data files and systems to track estimates, schedules, and budgets and provide supporting analysis for project managers and management.

Requirements

  • High School Diploma or equivalent; or the equivalent combination of education and experience.
  • A minimum of three years of project-related work experience.
  • Communication, customer service and interpersonal skills including the ability to work with all organizational levels as a team member to ensure that key information on schedules, requirements, and resources is communicated to internal customers in a clear and timely manner.
  • Proficiency with Microsoft 365 applications  including spreadsheet, database, word processing and presentation applications to compile, maintain, and present information in original applications and as PDFs.
  • Initiative to manage time and to organize and prioritize multiple tasks to meet internal customer requirements and deadlines with limited oversight.

Preferences

  • Bachelor’s Degree in Business Administration or a related field
  • Familiarity with project management processes. 
  • Understanding of Hydro licensing, Endangered Species Act, and Clean Water Act.
  • Working knowledge of SAP (Budget/Procurement/work management). 
  • Experience in a natural resource agency/environmental firm/energy firm.
