General Purpose

    Compiles data, tracks, summarizes, and reports results, and Maintains property management database.  Compiles, organizes, and summarizes data from multiple sources; monitors/tracks processes to ensure their execution within defined parameters.  

Responsibilities

•    Provide support through the preparation of reports, letters, and spreadsheets. 
•    Ensure activities are performed in accordance with contractual, corporate, and regulatory requirements.
•    Track documents including contracts, payments, and invoices, using standardized processes where applicable.
•    Communicate with staff regarding procurement/accounting information.
•    Populate the department’s database (REFX, an SAP module) with information from lease contracts, including term of contract, payments and critical dates.  
•    Prepare weekly, monthly and ad-hoc reports from the database. 
•    Prepare purchase orders and requisitions, coordinating with property agents and the procurement department. 
•    Prepare check requests and wire transfers at the direction of property agents.

This is an entry level position and must demonstrate basic clerical skills, which will include keyboard proficiency, office etiquette as well as oral and written communication skills. The determination of these qualifications will be done by test. Applicant is expected to progress through Company-provided training in the Service Coordinator role. As training progresses, the incumbent will receive additional base pay. The successful candidate will enter a two-year training program which may require overnight travel for up to a week at a time.

17.3.18  An Outage Coordinator is an employee who: must demonstrate a working knowledge of existing tools (Trouble-up, Mobile-up, CSS, OVS, Power-out, etc.) within the first six month probationary period. If no qualified employees apply, the Company may hire the best-unqualified internal/external applicant. Progress of probationary Coordinators will be reviewed monthly against the training modules and standards by the Joint Committee. If the trainee fails to meet the training and/or standards, and the Committee disqualifies the employee from the position, they will be subject to the Force Reduction rules per Article 14 of the collective bargaining agreement. The essential duties of the Outage Coordinator are: (a) acts as the point of contact for outage information; (b) coordinates, gathers, and disseminates outage information; (c) assists in calling and dispatching appropriate response personnel from information gathered through outage or emergency tickets; (d) coordinates with dispatch resources; and (e) assists in dispatching appropriate field related work and provides data input into necessary systems.
